Start with the exact locations

Sydney is a large metropolitan area, and a quote for an inner-city suburb may not be the same as one for Western Sydney, the Central Coast or regional New South Wales. Enter the real pickup and delivery suburbs or towns so the quote can account for the local legs of the journey.

The collection point also needs safe access for the allocated carrier. Large transporters may not be able to enter narrow streets, underground parking areas, steep driveways or roads with low trees. Where access is unsuitable, the driver may arrange a nearby safe handover point with the collection contact.

Vehicle information that affects the quote

Provide the vehicle’s correct make and model, then declare anything that differs from its standard dimensions or condition. Important details include:

• raised or lowered suspension;
• roof racks, canopies, bull bars and other accessories;
• unusually low ground clearance;
• whether the vehicle starts every time;
• whether it can be driven safely onto the carrier; and

Door service, depots and flexible collection

Door collection and delivery reduce the driving you need to do, but they include local carrier movements and depend on safe access. Depot-to-depot is normally cheaper when suitable depots are available, although you must arrange the vehicle’s handover and collection during the depot’s operating hours.

Pickup timing also matters. If the collection can occur across several days, the quote may have more carrier options than a fixed-day request. This flexibility can be particularly useful outside the main Sydney transport areas. If the vehicle must be collected on a specific date, state that before booking rather than relying on an estimated window.

A straightforward Sydney handover

The person releasing the vehicle should:

1. be available to answer the driver’s call, even when it comes from a private number;
2. have the keys and any required release documents ready;
3. make sure the vehicle starts reliably or has been correctly declared non-running;
4. remove valuables and loose personal belongings unless the selected service allows them; and
5. photograph the vehicle before collection.

Private purchases, dealers and auction pickups

When you buy a vehicle from another person, confirm that the seller will take the carrier’s call and be present for the agreed handover. If someone other than the purchaser is collecting or releasing the vehicle, make the authority clear before the driver arrives.

Auction pickups have stricter paperwork. The auction house may ask for a paid invoice, lot or buyer number, identification and written authority naming the collecting party. Each auction house has its own process. Follow the documentation request supplied for the booking; without the correct release authority, the driver may be turned away.

Transit times are estimates

Long-distance vehicle transport uses trucks travelling on public roads. Estimated transit times usually refer to business days and may exclude weekends and public holidays. Weather, floods, road closures, carrier schedules, mechanical issues and peak volumes can cause delays.

Treat the quoted transit window as a planning estimate. Avoid arranging a registration inspection, sale handover or onward journey that depends on an unconfirmed delivery day.

Insurance and vehicle contents

Ask your insurer how your policy responds while the vehicle is being transported. Moving Cars recommends notifying the insurer before transport rather than assuming every risk is covered by the carrier or quote.

Unless the selected service explicitly permits goods inside the car, remove anything that did not come with the vehicle. Personal belongings can move during transit, may not be covered and can affect carrier acceptance.
